Instructions
Let's create your personalized "I am Attending" image for the upcoming Decolonizing Coaching Research Conference: Unspoken Stories using the provided PowerPoint template.  CLICK HERE
You will need:
- The PowerPoint template file (
.pptx
) provided by the conference organisers. - A headshot photo of yourself saved on your computer.
Follow these steps:
Step 1: Open the Template
- Find the PowerPoint template file you received (it likely ends in
.pptx
). - Double-click the file to open it in Microsoft PowerPoint. You should see the conference-branded design with text like "I am Attending" and a placeholder shape (a coloured circle) where your photo will go.
Step 2: Insert Your Photo
- Go to the "Insert" tab at the top of PowerPoint.
- Click on "Pictures" and choose "This Device...".
- Navigate to where you saved your photo, select it, and click "Insert".
- Your photo will appear on the slide, likely covering other elements (Don't worry!).
Step 3: Make Your Photo Circular (or Oval)
- Click on your photo to select it. You'll see dots (resize handles) around its border.
- A "Picture Format" tab should appear at the top. Click on it.
- Look for the "Picture Style" section. Click the small arrow underneath and scroll until you find "Bevel, Oval, Black".
- Select the Bevel, Oval, Black shape from the options. Your photo will now be cropped into an oval/circle with a black border.
Step 4: Resize and Position Your Photo
- Click and drag your circular photo to move it.
- Position it directly over the placeholder shape (the blue circle) on the template.
- Resize your photo (4.77 x 4.77 cm/1.85 x 1.85 inches) so it matches the size of the placeholder:
- Click on the photo to select it.
- Go to "SIZE"Â in the top menu. Set a specific size in cm/inches: Enter 4.77cm or 1.85"Â into the Height box. Then, enter 4.77cm or 1.85" into the Width box. Press Enter
- Or click and drag one of the corner dots (resize handles) inwards or outwards. Hold the Shift key while dragging to keep the photo's proportions correct (so it stays a perfect circle and doesn't get stretched).
- Adjust the size and position until it fits nicely within the intended area.
Step 5: Delete the Placeholder
- Carefully click on the original placeholder shape (the blue circle) that is now behind your photo. You might need to click near the edge of your photo to select the shape behind it.
- Press the Delete key on your keyboard to remove it. Now only your photo should be visible in that spot.
Step 6: Change border colour
- Click on your photo:
- Go to the "Picture Format" tab.
- Click "Picture Border".
- Choose #FFFFF or the brand purple.

 to match the template being used. - The border should be the same colour as the section it is in!
- You can also adjust the border thickness by clicking "Picture Border" > "Weight". A thin border (1pt or 2 ¼ pt) usually looks best.
Step 7: Save Your Image as PNG
- This is the final step to create your shareable image file.
- Go to the "File" tab (top left).
- Choose "Save As" or "Export". (Using "Export" is often more direct).
- If using "Export": Click "Change File Type" and select "PNG (Portable Network Graphics)". Then click "Save As".
- If using "Save As": Choose a location on your computer to save the file. In the "Save as type" dropdown menu, select "PNG (*.png)".
- Give your file a unique name.
- Click "Save".
- PowerPoint might ask if you want to export "All Slides" or "Just This One". Choose "Just This One".
You're Done!
You have a PNG image file ready to upload to Instagram, LinkedIn, X (Twitter), Facebook, or other social media platforms.
